A branded merchandise program that scales without the headache

Managing branded merchandise grows complicated fast. A handful of polo shirts turns into a full staff collection, layered with orders from three or four resellers and annual campaigns. At that point a company either sets up an internal logistics role or outsources it — and Brandix is built for the latter.

Our service covers product warehousing, order fulfillment, packing, delivery and webshop workflows. In practice it means an order comes to us — via the portal or by email — and ships straight to the end user with no action required from the client. The same applies to single-employee orders and to larger campaign distributions.

We warehouse in Finland, so deliveries are domestic. Typical lead time to the Helsinki metropolitan area is 1 business day from order, and 1–2 business days to the rest of Finland. Helsinki, Espoo, Vantaa, Tampere, Turku, Oulu, Jyväskylä, Lahti and Kuopio are standard routes.

In-house merch shop for employees

A portal for the company’s employees where staff can order the apparel and items they are entitled to, delivered directly home or to the office. The company defines the catalog, quantity caps and budget; Brandix runs the system.

    We continuously monitor the agreed inventory threshold. When the quantity falls below the trigger level, we kick off a reprint or re-embroidery automatically under a pre-agreed purchase authorization. The client gets notified but does not need to place an order.

    Products ship in branded boxes with agreed inner packaging and client-specific inserts (thank-you cards, product instructions, return labels). The unboxing experience is part of the brand.

    Monthly or real-time reporting on inventory, movement, average lead time and end-customer feedback. The dashboard can be integrated into the corporate intranet or sent as a scheduled PDF digest.

How it works

  1. Scope and needs

    How many SKUs, how many users in the portal, what is the expected weekly order flow, who pays? These drive a sensible service model and the fixed monthly component.

  2. Initial stock production

    The first production run that seeds the warehouse. Products are printed or embroidered, counted and shelved in our warehouse per SKU. Product photography for the webshop happens at this stage.

  3. Portal onboarding

    B2B webshop goes live — user groups, pricing tiers, approval flows, SSO authentication via the company’s Active Directory. The first training session is typically held over Teams.

  4. Day-to-day operation

    Orders arrive through the portal, are picked, packed and shipped. The client monitors inventory and can order replenishments at any time. The monthly report is sent automatically on the agreed day.

  5. Scaling

    As the program grows — new products, new user groups, new countries — we expand the system without downtime. Most clients start with 5–10 SKUs and grow to 50–100 SKUs over 2–3 years.

Frequently asked questions

What is pick & pack?

Pick & pack means that when an order comes in, we pick the products off the warehouse shelf and pack them for shipment. In practice it is the core operation of warehouse-based logistics — the client does not have to hold stock or pack shipments themselves.

How much does warehousing cost per month?

The fixed monthly fee is driven by SKU count and the shelf space used, typically starting from a few hundred euros per month for a small program. Pick & pack work and shipping fees are billed per order. An exact quote is calculated at the scoping stage.

Can the B2B webshop integrate with our systems?

Yes. Supported integrations: SSO (Single Sign-On) via Active Directory or Azure AD, invoicing integration to common ERPs (Netvisor, Procountor, SAP, Dynamics) and APIs for custom applications. Integrations are scoped separately during onboarding.

What happens if a product runs out of stock?

We set a floor quantity per SKU; breaching it triggers an automatic reprint. The client is notified in advance. An additional alert threshold can notify the client contact before the reprint is triggered.

Who owns the goods in the warehouse?

The goods are the client’s property. Brandix acts as a custodian and handler, not a reseller. This affects accounting and insurance — we insure stored goods as part of the service, but for accounting purposes they sit on the client’s balance sheet.

Is there a minimum size for the warehousing service?

A practical minimum is around 5 SKUs and 200–500 pieces in total in stock. Below that, a direct production-to-delivery model is usually more cost-effective, and warehousing does not pay for itself.

Can you ship direct to the end customer as dropshipping?

Yes. The end-customer address travels with the order; the parcel ships under neutral Brandix branding or the client’s brand (client decides). The return address is typically set to the client, but we can also handle returns.

How long does warehouse onboarding take?

At its simplest 2–3 weeks (initial stock load + base portal configuration). With ERP integrations and complex pricing structures, onboarding runs 6–8 weeks. We typically prepare a proof-of-concept phase for the first 5–10 SKUs and scale from there.
